Space utilization rate measures the percentage of available space capacity being used over a defined period. For seat-based space, you calculate it by dividing occupied seat-hours by available seat-hours. 

Space utilization rate formula:

Utilization rate = occupied capacity-hours ÷ available capacity-hours × 100

Space utilization rate formula for desk-based environment:

Utilization = occupied seat-hours ÷ available seat-hours × 100

For example, if a 40-seat floor has 22 people in it on average throughout the week, the utilization rate is 55% (22 / 40 = 0.55, or 55%). This simplified example assumes a constant 40-seat capacity and equally weighted business-hour intervals.

Use benchmarks as context for your own target. The right utilization rate is whatever level supports your workplace strategy while preserving enough capacity for peak demand and operational needs.

Occupancy rate vs. utilization rate

Occupancy rate is the percentage of available capacity occupied at a specific point in time or during a specific observation interval. Unlike utilization, which measures use over time, occupancy gives you a snapshot of how full the workplace is at a given moment.

Occupancy rate formula: 

Occupied space ÷ available capacity × 100

For example: 30 occupied seats ÷ 40 available seats = 75% occupancy.

Peak utilization rate

Peak utilization is the highest observed occupancy/utilization level during a defined peak period, such as the busiest 15-minute, hourly, or daily interval.

Peak utilization rate formula:

Maximum simultaneous occupants ÷ available capacity × 100 = Peak utilization

For example, for a 40-seat floor with 38 people simultaneously present:

38 ÷ 40 x 100 = 95%

Peak utilization shows whether you have enough capacity on your busiest days, so you can size space to match demand and keep desks available when attendance spikes.

What good looks like depends on your attendance patterns, but the goal is to stay comfortably below 100% on peak days so that you have room to absorb attendance spikes.

Density (per seat and per person)

Density helps you understand how much workplace area is allocated to each seat or person. It’s especially useful for comparing buildings, floors, or portfolio locations and understanding how efficiently space is configured.

The two density formulas: 

Area per seat = Rentable square footage ÷ number of seats

Area per person = Rentable square footage ÷ defined employee headcount

For example, a 4,000-square-foot floor with 40 seats has 100 square feet per seat.

In a hybrid workplace, area per seat and area per person tell different stories. The ratio between employees and available seats keeps changing. Define your “person” denominator before comparing locations. It might represent total employees, office-based employees, or another relevant group.

Density is most useful alongside utilization and attendance. A high square-feet-per-seat ratio can make sense if the workplace needs more collaboration space, amenities, or peak-day capacity. A low ratio works best when there’s enough buffer to handle rising attendance comfortably.

Cost per seat and cost per person

Cost per seat and per person are key portfolio efficiency metrics that can be interpreted alongside space utilization metrics. They tie occupancy cost to actual use. Cost per presence goes a step further, dividing occupancy cost by a defined presence measure, such as average daily attendance, to show what each person actually in the office costs.

Cost per seat formulas: 

Cost per seat = Annual occupancy cost ÷ total seats

Cost per person = Annual occupancy cost ÷ defined employee population

Cost per presence = Occupancy cost ÷ defined presence measure

  • Look at weekly patterns: Many hybrid workplaces see heavier attendance Tuesday through Thursday. Measure your own organization’s peak pattern to confirm it holds for you.
